TERMS & CONDTION FOR PARTICIPATION
1. The confirmation of the stall shall be given to those exhibitors who have paid 60% advance payment. If any exhibitor fails to pay advance by the due date, then the same stall shall be offered to the new exhibitor. And if the new exhibitor confirms the space; then it cannot be given back to old customer if he/she changes mind at later stage.
2. Extra load requirement for bare space exhibitors during the exhibition and set-up period will be made available on chargeable basis @ Rs 3200/- per KW
3. No music/fashion show/live music will be allowed in any stall. If any exhibitor violates this rule, his/her electrical supply shall be disconnected.
4. In case of postponement of the event, all participants are bound to pay the new revised rates.
5. Any exhibitor wanting to distribute any free material has to take permission in advance from the event manager along with the mention of the free material and their respective size. Event manager has the right to deny if it doesn’t fall under the mentioned sizes for free distribution.
6. Chinese / Korean / Hongkong vendors are not allowed to participate in the event.
7. All Invoice towards participation, sponsorship or other event related services will be issued by SDPM from their Maharashtra GST Number.
8. SDPM will provide the Exhibitor’s Manual Form (Online or Offline Mode) to all exhibitors for sponsorship, advertisement, entry in show directory, extra furniture & electricity requirement, exhibitor’s badges and other exhibition related services.
CANCELLATION POLICY FOR DEDUCTION AND FORFEITURE OF THE AMOUNT IN THE EVENT:
i. Exhibitor cancels the booked Stall 90 days prior to the date of exhibition, on or before 12.10.2025, 50% (fifty percent) of the total Stall cost shall be deducted.
ii. Exhibitor cancels the booked Stall on, or after, 01.12.2025, full amount will be forfeited.
Provided however, if the cancelled Stall is sold to some other Exhibitor, then deduction of 10% of the total cost of stall.
GST amount, collected from the Exhibitor and reported on the GST Portal by SDPM, will not be refunded. The Exhibitor would be entitled to claim benefit/credit for the same in its GST Returns.
9. Exhibitors can use their own fabricators/contractors for construction of Stalls, subject to the following conditions:
9.1 The contractors/fabricators of the Exhibitors will have to erect/dismantle and remove all material/waste material from the Exhibition Hall within stipulated time frame, and as per the guidelines of SDPM.
9.2 The Exhibitors shall instruct their respective contractors/ fabricators etc., to work accordingly.
9.3 The Exhibitors will get their respective contractors/fabricators etc., approved by SDPM.
9.4 The approved contractors / fabricators etc., will have to pay to S D Promo Media Pvt Ltd (SDMP) a non-refundable registration fee of Rs.10,000 + GST.
9.5. Some of the contractors/ fabricators, owing to their past conduct have been debarred and as such would NOT be allowed to work for the Exhibitors. Exhibitors are advised to check the same with SDPM.
9.6 The approved contractors/ fabricators etc., shell have to submit an interest-free- refundable security to SDPM as per below: –
a) Up to 50 SQM Bare Space
INR 25000/= Per Booth
b) Up to 51 – 100 SQM Bare Space
INR 50000/= Per Booth
c) Above 100 SQM Bare Space
INR 75000/= Per Booth
9.7 The Interest-free Refundable Security shall be paid on or before 08.01.2026, by way of Demand Draft favoring S D Promo Media Pvt Ltd – Noida.
9.8 The Interest-free Refundable Security shall be refunded, after completing the entire work as per Clause 8.1 above. In case of any violation and/or any damage caused to the property of CIDCO and/or SDPM, SDPM shall be entitled to deduct from the Interest-free Refundable Security, amount of losses and/or expenses incurred, or to be incurred, towards restoration.
9.9 the contractors/fabricators should complete the stall build-up by 7 pm on 9th January 2026. A grace period of 2 hours will be allowed i.e. from 7 pm to 9 pm but after this no extended time, no concession will be given and a sum of Rs 8000/- per hour will be charged as compensation fine for failing to adhere to the timelines.
10 the contractors/fabricators should ensure that the hall is vacated by-11.00 pm on 12th January 2025. A grace period of one hour will be allowed i.e. from 11.00 pm to midnight but after this no extended time, no concession will be given and a sum of Rs 10,000/- per hour will be charged as compensation fine for failing to adhere to the timelines.
11 FORCE MAJEURE: No liability would lie upon SDPM for any unintentional breach or delay or failure in performance when such delay or failure arises from events or circumstances beyond the control of SDPM (including, any without limitation), due to the acts of God, fire, war, explosion, sabotage, terrorism, embargo, civil commotion, pandemic, universal law of force majeure etc.
12. No exhibitor will be allowed to distribute promotional bags in the exhibition passageway as the passageway has to be free at all times as per government norms.
if any exhibitor wants to distribute bags to visitors, they have to do it from their own stalls and not form a queue in the passage. Also, exhibitors are to distribute bags as per following dimensions only: length & width not exceeding 12 inches (normal small size bags).
Exhibitors should only distribute environmentally friendly bags. (plastic bags not allowed). Large sized bags will not be allowed for distribution. Bags not made within the above given dimensions will be confiscated & such large bags will be returned after the optical fair is over.
NOTE: If any dispute arises between SDPM & exhibitors during the event, the final decision will be made by the Mumbai Optical Association (MOA).
